Import using Xero integration

Overview

Our Xero integration allows you to import your financial transactions directly from Xero into Sumday. The best way to connect Sumday and Xero is by starting a transaction import. Once you have finalised the accounting for a period in Xero, you can connect to your Xero organisation and import the necessary transactions into Sumday through the Transactions - A Summary section.

Connecting Sumday and Xero

Hint: We recommend that you finalise your end of period procedures and adjustments prior to importing from xero, this will help to ensure that the amounts in Sumday reconcile back to your Xero file. And there is nothing more satisfying when the books balance - so try and keep it that way!
  • Navigate to the Data Entry section of the left hand menu.
  • Select Import transactions
  • If Xero isn’t already connected, you’ll be able to select the green ‘Connect now’ button.

  • Hit Connect and log in to Xero (if you aren’t already)

  • Select the Xero organisation you want to provide Sumday with access to, and select ‘Allow access’.
  • You’ll then see the below confirmation screen. The connection between Sumday and Xero may take some time depending on the size of your Xero file. If it takes longer than 60 minutes to connect, flick us an email at support@sumday.io.

  • Once it’s ready you’ll see a green confirmation button in the top right hand side corner that says ‘Xero connection complete’ and you’ll be able to click the ‘Select’ button.

  • That’s it! You’re now connected to xero and can proceed with importing transactions from your Xero organisation.

Connect from Settings

Alternatively, you can also establish the Xero connection through the Sumday Settings settings.

To establish the connection this way you can:

  • Navigate to the Settings section in the left hand Sumday menu.
  • Select ‘Connect now’ within the Xero connection area.

And then follow the same authorisation flow as above.

You can also see active Xero connections and disconnect these through the Sumday settings.

If you don’t want to integrate with Xero, simply export the required data from Xero into the CSV template and upload it. Check out the next section.

I want to use CSV import instead, what report do I need from Xero?

If you’re getting someone else to send you the report, you can send these instructions:
  • In Xero you go to: Accounting > Reports > Accounting Transactions. Then once you are in the reporting:
      1. Select all accounts
      1. Set the date range to reflect the import date range
      1. Set Grouping/Summarising to "None"
      1. Select the Columns that align to the CSV template
      1. Bonus points: reorder the columns to align with the CSV template
      1. Click the update button to refresh the report
      1. Click the Export Button and export to Excel
      1. Bonus Points: Save As "Custom" so you can use the report for future periods
      1. If you haven't done step 5, then you will need to do this manually by copying the relevant columns over to the csv import template - If you have then you can copy the listing directly across

Then in the Data Entry section of Sumday select Import Transactions and follow the prompts to finalise the import process through the CSV upload flow.

What Permission Level is required from Xero?

  • To extract the relevant report for a CSV upload from Xero, you need to be at least a "Standard User" with "Reports" permissions or an Advisor User.

Deleting the import

If you have accidentally imported the wrong data you can delete the data by clicking the little bin icon.

If there is a Lock icon, that means the imported transactions cannot be deleted until transactions have been unassigned from worksheets in the assessments section and unreconciled from ‘Reconciled Transactions’.
